How to request time off

Pick a leave type, choose your dates, and see exactly what the request costs before you send it.

Also on YouTube, where captions are available.

Step by step

  1. 1

    Open the request form

Press Request time off in the sidebar. It is on every screen in the app, so you never have to navigate to it.

  2. 2

    Pick the leave type first

Choose vacation, sick, personal or whatever your company has set up. Your balance for that type appears as soon as you choose, so you know what you have before picking dates.

  3. 3

Choose your first and last day

PTODesk counts only your company's working days. A request that spans a weekend does not spend the weekend, and the total updates as you change the dates.

  4. 4

    Public holidays come out automatically

If a company holiday falls inside your dates it is not deducted. Four calendar days around one holiday costs you three.

  5. 5

Mark a half day if you need one

Set the first or last day as a half day and the total changes to match — 2.5 days rather than 3.

  6. 6

Check what it costs before sending

The summary shows the working days being deducted and the balance you will be left with. Nothing is deducted until an approver says yes.

  7. 7

    Send it

The request goes to your approver in the app, and in Slack if your company has connected it. They approve with one tap and your balance updates immediately.

Common questions

Does a weekend count against my balance?

No. Only your company's configured working days are counted, so a Friday-to-Monday request costs two days, not four.

What happens if a public holiday falls in the middle?

It is skipped. The holiday calendar your company uses is applied automatically and the day is not deducted.

Can I cancel a request after sending it?

Yes, while it is still pending. Open My time off and cancel it there; nothing has been deducted from your balance yet.

Why is my balance lower than my annual allowance?

Most policies accrue through the year rather than granting everything on 1 January, so your balance is what you have earned so far. Open the balance detail to see every entry behind the number.
