PTODesk vs Timetastic

Timetastic is a genuinely good product — around $2.8M in revenue on a team of six, which only happens when people like the software. It is also built UK-first, and the gaps a US buyer hits are US-shaped: state sick-leave accrual and semi-monthly pay periods.

What Timetastic is good at

If these are the things you need, they are the better buy and we would rather say so.

Excellent, uncluttered interface — the thing people consistently praise, and a fair reason to stay.

Around 8,000 customers with an average of roughly $29.50 a month each, so it is well proven at exactly this price point.

Strong wallchart-style team calendar.

Where teams outgrow Timetastic

1

US state sick leave is not modelled

Twenty-one states and DC mandate accrual on four different denominators — one hour per 30 worked in most, but 35 in Rhode Island, 40 in Washington, 52 in Vermont and 37 in DC, with caps between 24 and 64 hours and employer-size thresholds that shift as you grow. PTODesk keeps those in a dated, statute-linked table that drives the accrual engine directly.

2

Semi-monthly pay periods

Twenty-four pay periods a year is standard in the US and unusual in the UK, and it is where UK and EU-built tools quietly produce the wrong per-period accrual. PTODesk treats semi-monthly as a first-class cycle.

3

Per-seat pricing at US headcounts

The published tiers are per person per month. A 40-person US team on a mid tier is paying meaningfully more than a flat $59.

What it costs as you grow

Timetastic at list price, against the cheapest PTODesk plan that covers the same team. Per-seat pricing rises with every hire; a flat price does not move until you cross a plan boundary.

Common questions

Is Timetastic a US product?

It is UK-built and now part of The Citation Group, which acquired it in November 2023. It works fine for US teams on straightforward allowances; the gaps are state sick-leave logic and semi-monthly cycles.

Do we lose anything moving from Timetastic?

Honestly, some interface polish — they have spent years on it. What you gain is the compliance engine and flat pricing.

Can PTODesk handle a non-calendar leave year?

Yes. The accrual year can start on any date, and carryover and expiry are evaluated against that year rather than 1 January.

Try it against your own numbers

Free for teams up to five, with the whole accrual engine. Import your roster from a CSV, set opening balances, and run it alongside what you have now for a month.

No credit card. Flat monthly price, never per seat.
